The Lincoln Community Foundation (LCF) is organizing monthly Bingo Events for the benefit of a different non-profit each month. The nonprofit’s address must be within the WPUSD School District boundaries. Following is some information to consider when applying to be a Monthly Bingo Event Nonprofit Beneficiary:
- The Monthly Community Bingo Event will be on the 2nd Wednesday of each month beginning in January 2024. Please fill out the attached form to apply. LCF will keep a list on their website of available dates.
- Each event will be held at the McBean Park Pavilion Building from 5:30pm to 8:30pm. The Pavilion will be available for set up from 2pm until 5pm on the day of the event. Kris Knutson, President of the Lincoln Community Foundation, will have the key to the Pavilion. Please contact him the day before the event to arrange for pickup.
- The capacity for the Pavilion is 350 people.
- All guests must be 21 or older.
- The cost to rent the Pavilion is $395 and must be paid at the time the application is accepted. Please note the cost is ½ the normal cost to rent the Pavilion.
- The Pavilion must be left in the same condition after the event as it was found going into the event.
- The Lincoln Community Foundation has procured the insurance coverage for these events. We reserve the right to shut down an event if one of your guests is unruly or causes potential or real liability to us.
- LCF will determine eligibility of the nonprofit based on the information submitted on the application.
- Alcohol may be served and the applying nonprofit will be responsible for the obtaining the Liquor License ($50 for a one day non-profit beer and wine license) from the CA Alcoholic Beverage Control. Click on the link to access instructions and the form to apply for the ABC License. Daily Licenses | Alcoholic Beverage Control (ca.gov) The applying non-profit will also supply all alcohol, ice, cups, napkins and most importantly the bar wait staff. The applying nonprofit will also be responsible for any sales tax on alcohol that is donated to the event.
- LCF will provide the Caller, Bingo Balls and Board, Bingo Papers, Daubers, and Raffle Tickets. Extra Bingo papers packet can by sold for $10 each.
- A Sound System will be provided at a cost to the applying nonprofit $100 plus 2 free Bingo Entries. This fee will be paid at the time the application is accepted.
- Payouts for the games are as follows: $25 to each winner of each game for 11 games and $100 to be split among the winner for Game 12 (Blackout). The nonprofit is responsible for these payouts.
- Ticket Prices for Bingo only will be $30, or $40 for bingo and dinner. Tickets must be pre-sold by using the LCF’s source Square links. You will need to add the links to all promotions and flyers. Tickets can also be sold at the door.
- LCF will be paid $3 per Bingo ticket sold. Nonprofit must determine how many bingo players attended and report that to LCF.
- Additional income can be earned by having a Bar, Raffle, Heads/Tails game and Dinner. These add-ons will be determined by the applying nonprofit and prices set accordingly. All supplies needed for the Add-Ons will be provided by the applying nonprofit (including Raffle prizes, Raffle tickets, Beads for Heads/Tails, Food, Drinks, etc.).
- LCF cannot guarantee the amount of profit the hosting organization will receive.
- The applying nonprofit will be responsible for applying for and obtaining a CA Attorney General Raffle Registration before the event. If you cannot procure a raffle registration in time please speak with the President or Treasurer of the Lincoln Community Foundation for additional information. It is advised that Raffle Tickets are not sold online before the event or as part of the Bingo Ticket package. Managing the sell of raffle tickets pre-event has proved to be hard to manage. The participating nonprofit is encouraged to only sell Raffle Tickets at the event.
- The participating nonprofit is encouraged to provide a means to accept both credit cards and cash for additional Bingo Packets, Raffle Tickets and Heads/Tails Beads at the event. Square is a useful tool for this function. LCF can help with setting up your square account if needed.
- An LCF representative will attend one of your nonprofit’s meetings to go over the program and answer questions. This step is a requirement for each nonprofit and will help make your event successful.
- The participating nonprofit should plan to market their event with a flyer posted to the many Facebook Community sites. The participating nonprofit must also use the LCF logo on their flyers and other advertising. As a member of the Lincoln Area Chamber of Commerce, LCF will request them to send out an e-mail blast on the participating nonprofits behalf.
- The nonprofit must promote their bingo event as well as the next bingo event.
- Besides as stated above, the applying nonprofit will need to provide volunteer to:
- Check-in players and check ID’s as necessary at the front door.
- Hand out Bingo Papers and Daubers
- Sell tickets at the front door (pre-sale tickets are necessary for success)
- Call Back Bingos & Pay Bingo Winners
- Bar and Food Waite staff
- Cleanup/Clear Tables, pickup used Bingo papers (paper bags on table)
